Paperlink lets you collaborate with colleagues by inviting them to your team. Each team member is assigned a role that controls what they can see and do — from viewing shared documents to managing billing and settings. You can invite as many members as your plan allows, and adjust roles at any time.

Roles and permissions

Every team member has one of four roles. Each role builds on the one below it, so an Admin can do everything a Manager can, plus more.

AdminManage team settings and integrations, invite and remove members, and create or edit all content. Cannot delete the team or transfer ownership.
ManagerCreate and edit invoices, estimates, documents, and sharing links. Cannot manage team settings or invite members.
MemberView team resources, including documents and analytics. Cannot create or edit content.
Roles apply across your entire team. There are no per-document or per-folder role overrides — a member’s role determines their access to everything on the team.

Invite a team member

Only Owners and Admins can send invitations.

Open Members settings

Click Settings in the left sidebar, then open the Members tab.

Open the invitation form

Click Invite Member in the top-right corner.

Enter the email address

Type the email address of the person you want to invite.

Send the invitation

Click Send Invitation. Paperlink sends the invitation to the person’s notification center inside the app. If they do not have a Paperlink account yet, the invitation will be waiting for them when they sign up.
You can invite anyone — they do not need an existing Paperlink account. The invitation stays open until they accept or you cancel it.

Pending invitations

After you send an invitation, it appears in the Pending Invitations section on the Members page. The invitation stays open until the person accepts it. To cancel a pending invitation, click the menu next to the invitation and select Cancel Invitation. The person will not be able to use that invitation once you cancel it.

Change a member’s role

Owners and Admins can change any team member’s role at any time.
  1. Go to Settings > Members.
  2. Find the team member in the list.
  3. Click the role dropdown next to their name.
  4. Select the new role.
The change takes effect immediately. The member will see updated access the next time they load the app.
Admins can change roles for Managers and Members. Only the Owner can change an Admin’s role.

Transfer ownership

The Owner role can only be held by one person at a time. To transfer ownership to another team member:
  1. Go to Settings > Members.
  2. Find the member you want to make Owner.
  3. Click the role dropdown next to their name and select Owner.
  4. Confirm the transfer.
Your role changes to Admin. The other person becomes the new Owner. This action cannot be undone without their cooperation — the new Owner would need to transfer it back to you.
Ownership transfer is permanent until the new Owner reverses it. Make sure you are transferring to the right person before confirming.

Team name and avatar

Your team name and logo appear in the Paperlink sidebar, on invoices, and in notifications. Only Owners and Admins can update them. To rename your team:
  1. Click Settings in the sidebar.
  2. Open the Team tab.
  3. Under General Settings, edit the Team Name field.
  4. Click Save.
The name must be between 2 and 50 characters. Leading and trailing spaces are trimmed automatically. To upload or change the team logo:
  1. Go to Settings > Team.
  2. Click the team avatar at the top of the page.
  3. Select an image from your device.
Accepted formats: JPG, PNG, GIF, WebP. Maximum file size: 5 MB. To remove the logo, click Remove Logo next to the avatar.

Team member limits by plan

The number of members you can have on your team depends on your plan. If you reach your plan’s member limit, you need to upgrade before inviting additional people. Visit Settings > Billing & Plans to see your current plan and its member limit, or check the subscription page for a full comparison.
